Define the operational rules before opening a form

Confirm categories, eligibility, pair format, capacity, deadline, price, payment route and cancellation handling. A form cannot repair unclear event rules after players start submitting.

Collect only fields used by the workflow

Each field needs a purpose. Separate operational consent from optional marketing consent, store the consent version and avoid collecting sensitive free text that the organizer does not need.

Use explicit participant states

A workable flow distinguishes submitted, awaiting payment, confirmed, waiting list, withdrawn and rejected. Automated messages should reflect the stored state rather than promise a place too early.

Keep failure paths visible

Email and automation failures should be logged for retry without deleting the registration. Payment completion must be verified server-side rather than trusted from a browser success page.
